Sharing a Sheet

Give people access to one Sheet without duplicating its data.

Open a Sheet’s Share controls to invite a person, grant the active team access, or manage existing access. An invitation is only useful after the recipient accepts it, so verify the email address before you send it. The current owner can transfer ownership only to an eligible person who already has access.

Sheet roles

The roles you can grant are viewer, editor, and manager. Owner is not a grantable role: it belongs to the current owner and can only change through an ownership transfer.

Invite people and teams

Choose the least access that allows the work to happen. A direct person grant can differ from that person’s team access. If an invitation is still pending, you can resend it or revoke it from the same dialog. Share the original Sheet instead of exporting or copying a second version when collaboration is ongoing.

Team access applies to members of the active workspace at viewer or editor level. It does not make a Sheet public.

A link and a public publication are separate controls. A link is a viewer-only access link; creating a new link rotates its token, so any previously copied link stops working. Public access creates a separate published view and makes the Sheet discoverable in the workspace’s Public area.

Treat either action as publishing the selected Sheet data. Review values, source links, and personal data before you share. Revoke the link or unpublish the Sheet as soon as that access is no longer needed.
